This policy explains what Flaming Forces does with your personal data when you contact us, request a booking or apply to join the team. In short: we collect only what you send us, we set no cookies, and we never sell anything to anyone.
1. Who we are
Flaming Forces (also known as Flaming Forces — Allure Temptation) is a dance and cheer performance collective based in Rotterdam, the Netherlands. We perform at events across the Netherlands and Belgium, and we run adult and junior teams.
For the personal data described in this policy, Flaming Forces is the controller — we decide why and how it is used. You can reach us at [email protected]. Our main communication language is English, but you are welcome to write to us in Dutch.
2. What we collect
We only collect what you type into one of our forms, plus the technical data any website receives in order to be delivered to your browser. We do not buy personal data, and we do not build visitor profiles.
- Contact form
- Your name, email address, an optional subject, and your message.
- Booking enquiry form
- Your name or organisation, email address, type of event, which team you want (adults, or adults and juniors), whether you want a photographer, an optional budget, and your message.
- Team application form
- The dancer's name and age, their dance background (styles and years of experience), and any additional information you choose to add — which may include links to videos of them dancing. An adult applicant also gives their own email address. For a junior we do not ask for the child's email at all: the parent or guardian applies on their behalf and gives their own name and email address, and that is the only contact detail we hold for a minor.
- Technical data
- Our hosting provider automatically logs standard request data such as your IP address, browser type and the pages you request. This is used to serve and secure the site, not to identify you.
3. Why we use it, and on what legal basis
Under the GDPR we need a legal basis for every use of your personal data. Ours are:
- Answering your enquiry and preparing a quote — necessary to take steps at your request before entering into a contract (Article 6(1)(b)).
- Handling team applications — our legitimate interest in assessing applicants and organising try-outs (Article 6(1)(f)). Where the applicant is under 16, we rely on the consent of a parent or guardian instead (Article 6(1)(a), read with Article 8).
- Keeping the forms free of spam — our legitimate interest in keeping the site usable (Article 6(1)(f)).
- Publishing performance photos and video — see section 7 below.
We do not use your data to send marketing emails, and we do not sell it to anyone.
4. Who else sees it
Your form submission travels through a small number of service providers before it reaches us. Each of them processes it on our instructions:
- Web3Forms — receives every form submission and forwards it to us by email.
- Google (Gmail) — hosts the inbox that receives and stores the forwarded submissions.
- Amazon Web Services — hosts this website and produces the technical request logs described above.
- Pexels — some imagery on the Performances page is temporary stock photography loaded directly from Pexels, so your browser requests those files from them and they receive your IP address. These stand-ins will be replaced with our own photography.
Some of these providers are based in, or store data in, the United States. Those transfers rely on the European Commission's standard contractual clauses and/or the EU–US Data Privacy Framework. Beyond these providers, we share your data only if we are legally required to.
5. Cookies and browser storage
This website sets no cookies at all. We use no analytics, no advertising, no social media pixels and no tracking of any kind. That is also why you are not being asked to accept anything.
There is exactly one piece of data stored in your browser. After you send a form, we save a timestamp under the key ff-form-cooldown-until in your browser's local storage, so the form cannot be submitted again for 60 seconds. It contains no personal data, it never leaves your device, and it exists purely to deter spam. Under Dutch telecommunications law this is strictly necessary for a service you requested, so it needs no consent. Clearing your browser data removes it.
The fonts used on this site are served from our own domain, so no request is made to Google Fonts when you visit.
6. Children and junior applicants
Our junior team accepts performers from 6 years old, so we knowingly receive data about children. In the Netherlands a child under 16 cannot give valid consent themselves.
A junior application must therefore be submitted by a parent or guardian, who confirms their consent and gives their own name and email address on the form. We may contact them to verify that consent. If you believe a child's data has reached us without a guardian's consent, email us at [email protected] and we will delete it.
7. Photography and video at events
We photograph and film our own performances, and we publish a selection on this website and on our social media channels. Our performers agree to this as part of joining the team, and can ask us to remove an image of them at any time.
Audiences at public events may incidentally appear in the background of this footage. We rely on our legitimate interest in documenting and promoting our work (Article 6(1)(f)), and we do not identify members of the public by name. If you appear in something we published and would rather not, contact us at [email protected] and we will take it down.
8. How long we keep it
- Enquiries that do not lead to a booking: kept for up to 12 months, then deleted.
- Bookings that go ahead: kept for as long as needed to deliver the event, and afterwards for as long as Dutch tax law requires us to retain the records (currently seven years).
- Applications from people who do not join the team: kept for up to 12 months so we can approach you for a later round, unless you ask us to delete them sooner.
- Data of team members: kept for as long as they are part of Flaming Forces, and removed on request after they leave.
9. Your rights
Under the GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to how we use it;
- receive your data in a portable format;
- withdraw consent at any time, where we relied on consent.
Email [email protected] to exercise any of these. We answer within one month, and it costs you nothing. If you are not happy with how we handle it, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens.
10. Security
This site is served over HTTPS, so what you type into a form is encrypted in transit. Submissions are delivered to a single mailbox with access limited to the people who need it. No system is perfectly secure, so please do not send us sensitive information — medical details, identity documents or payment card numbers — through these forms.
11. Changes to this policy
If we add a service that changes how data is handled — analytics, a newsletter, a booking system — we will update this page and the date at the top before switching it on.
